SPEAKER PRESENTATION GUIDELINES ORAL PRESENTATIONS

INTRODUCTION

The Congress Committee would like to thank you for agreeing to present at the upcoming 8th Asia-Pacific Glaucoma Congress & SNEC 35th Anniversary International Meeting at the Suntec Singapore Convention & Exhibition Centre, Singapore. This guide has been prepared to assist you in planning and delivering an effective presentation for the congress.

REGISTRATION

Complimentary Registration for All Invited Faculty. If you have not received the registration confirmation email from the organizing secretariat, please write to us at info@apgcongress.org.

All Presenters in the Free Paper sessions must register and pay the applicable registration fee to attend the conference. There is no concessionary registration rate for presenters. Presenters who fail to pay registration fees will face the risk of being removed from the program at the discretion of the Program Committee. The registration desk for the congress is located on Level 4, Suntec Singapore Convention & Exhibition Centre, at the entrance of Hall 405 & 406. The opening hours are as follows:

PREPARATION FOR YOUR PRESENTATION

PowerPoint: Please prepare your presentation file using PowerPoint version 2019, 2021 or Microsoft 365. Older versions of PowerPoint will not be supported. Please save your file as PPTX instead of PPT.

Conflict of Interest: All Speakers are required to disclose and declare any conflict of interest (including financial disclosures) related to each presentation on the second slide of their PowerPoint presentation according to the EACCME regulation. If there are no conflicts of interest, speakers should indicate ‘Conflict of Interest: None’ on the slide. If there are any conflicts, please provide the relevant details.

Use of Commercial Names: If your presentation includes references to any commercial names of medical devices, software, or equipment, please include the following disclaimer on the second slide of your PowerPoint presentation:

“Commercial names of medical devices, software, or equipment may be referenced in this presentation as they relate to specific medical procedures that form part of the educational content. Alternative products available in the market may also be used to perform these procedures. The educational provider does not endorse any specific product.”

Fonts: Please use standard fonts that are compatible with both Windows and macOS versions of Microsoft PowerPoint. Avoid Mac-only fonts, as these may be substituted on the congress presentation computers and affect slide formatting. If non-standard fonts are used, they should be embedded within the PowerPoint presentation.

Please also ensure that all text, tables, and graphics are of an appropriate size to remain clearly visible from a distance. Where possible, large amounts of information should be distributed across multiple slides for better readability.

Video: Any video clips in your presentation files should be in MP4 encoded to H.264 that can be played in PowerPoint. Do NOT use .mov (QuickTime) or .3gp files, which are NOT supported by PowerPoint for Windows. Please test the video beforehand and make sure it plays properly.

  • IMPORTANT NOTE: Please use the Insert function to embed videos directly into your PowerPoint presentation. Do NOT use the ‘link to file’ option as the link will become invalid when your presentation is played on a different computer. Please also ensure that video clips are trimmed to include only the specific segments intended for presentation, as fast-forwarding through embedded videos may not be supported in PowerPoint Presentation View.
  • DVDs/CDs: Videos played directly from DVDs/CDs may not function properly during PowerPoint presentation sessions. For optimal playback, please ensure that all videos are embedded directly into the PowerPoint slides.

Images: Speakers may include images in their presentations where appropriate. It is the responsibility of each speaker to ensure that the necessary copyright permissions have been obtained for all images used. To communicate key messages effectively, speakers are encouraged to use clear and simple charts, graphs, and diagrams.

Design: Please ensure that all text is clearly legible and provides sufficient contrast against the background. For example, white or yellow text on a dark background, or dark text on a light background, is recommended. Appropriate use of colours and illustrations can help reinforce key messages and clarify ideas; however, excessive use of colours, fonts, animations, or special effects should be avoided, as these may distract the viewers from the main content.

Content: Please note that Congress attendees range from medical students to experienced specialists, with varying levels of knowledge, interests and professional experience. Speakers are therefore encouraged to include sufficient background information to provide appropriate context for their presentation topic.

ONLINE SPEAKER READY ROOM

The Online Speaker Ready Room will be accessible from 18 June 2026 to 20 July 2026. Please click on the link below to upload the PowerPoint (PPTX) file for your presentation.

IMPORTANT NOTE: Due to the limited capacity of the Onsite Speaker Ready Room and the possibility of long waiting times, speakers are strongly encouraged to upload their PowerPoint presentation slides to the Online Speaker Ready Room during the designated operational period. Early preparation is highly recommended, as the expected surge of users closer to the deadline may result in delays or unsuccessful uploads.

Speakers are also advised to bring a backup copy of their presentation, either on a USB drive or on their laptop, to their onsite session room.

AT THE MEETING

Onsite Speaker Ready Rooms

To support speakers in their preparation and to facilitate smoother traffic flow, an Onsite Speaker Ready Room will be available in Meeting Room 336 at Level 3, Suntec Singapore Convention & Exhibition Centre.

If you have not uploaded your PowerPoint presentation via the Online Speaker Ready Room prior to the Congress, please visit the Onsite Speaker Ready Room upon arrival at the venue. All presentation files must be uploaded at least two (2) hours before the start of the respective session.

The computers in the Speaker Ready Room will have configurations similar to those in the session rooms. Speakers are strongly encouraged to review their presentations in the Speaker Ready Room to identify and resolve any compatibility or formatting issues.

The presentation files uploaded in the Speaker Ready Room will be automatically transferred to the respective session room computers prior to the session.

Audio and Visual Equipment

  • Screens with a 16:9 ratio will be provided.
  • Session rooms will be set up with theatre-style seating.
  • Other standard equipment will include:
    • Podium
    • Microphone
    • A clicker cum laser pointer
    • Data projection equipment, including a 15” preview monitor on the rostrum for presentation, computer audio, and a projection screen
    • Dual screens or side screens are available in some session rooms

Delivering Presentations

By default, presentations will be displayed in Presenter View, which enable speakers to view their speaker’s notes and upcoming slides. The countdown timer will be displayed on a screen in front of the rostrum.

If you prefer to present in Slide Show Mode, where only the current slide is displayed to both the audience and speaker, please inform the standby before your presentation begins so that the appropriate mode can be selected.

Should you require assistance during your presentation, please feel free to signal to the technician stationed in the room.

A countdown timer will be activated at the start of your presentation. A bell will be sounded one minute before the end of the allotted time. At full time, three bells will be sounded, and the microphone will be turned off after 15 seconds. Speakers are kindly required to adhere strictly to their allocated presentation time. In consideration of other presenters and the overall programme schedule, please DO NOT overrun, as any excess time used will reduce the presentation time available for subsequent speakers.

Scientific Program Schedule: Each session will be 90 minutes in duration. The allocated speaking time for each presentation will vary depending on the number of speakers within the session. The latest programme schedule is available at https://apgcongress.org/scientific-program/. As the schedule may be subject to changes as required, speakers are advised to check the website regularly for the most updated programme.

Important Note to Mac Users

  • Please note that PowerPoint on Windows does not support the playback of .mov video files. Any video clips within your presentation must be in MP4 format and fully compatible with PowerPoint.
  • If you require assistance on converting your video files, please visit the Onsite Speaker Ready Room at least 24 hours before your scheduled presentation(s) so that an onsite technician can assist you.


The organisers shall not be held responsible for any issue relating to non-compliance with the above guidelines.
